If you would like to participate in an event as a trader or company, you will need confirmation.
What do I need to know?
Service description
As a business owner or company, you can participate in events such as:
- trade shows,
- exhibitions
- festivals, and
- fairs
.
The following applies to the application:
- You can apply for a confirmation of participation in accordance with the Trade Regulation Act.
- Organizers may restrict participation in markets based on the nature and purpose of the market.
- When participating in these markets, you are exempt from the provisions of the Shop Opening Hours Act, the Act on Sundays, Public Holidays, Memorial Days, and Days of Mourning, the Working Hours Act, and the Trade Regulation Act.
- If you belong to the group of participants for a designated event, you are eligible to participate provided there are no objective reasons (substantive defects) to the contrary. Whether you belong to this group is specified in the relevant designation.
If the public administration acts as the organizer, the freedom to hold markets also applies. However, municipal law (as a public institution) may impose public-law restrictions on participants through market regulations that impose public-law obligations on market vendors.
In addition to the three Mainz folk festivals (Carnival Fair, Rhine Spring Festival, and St. John's Night), the market administration organizes the Mainz weekly market, the district markets, and the Christmas market.

Please note: We do not allow commercial
participants at the municipal flea market.
Prerequisites
- You must be eligible to participate (applies to scheduled events)
- You must meet the eligibility requirements for the respective events.
- You may be excluded if you do not meet the required standards of reliability.
Procedure
To participate in an event, you must submit an application.
You can submit this application using an offline form or online via the online service.
If you want to apply using the offline form:
- Open the corresponding PDF form.
- Fill out the application.
- Submit the required supporting documents.
- Send the application by email or mail to the responsible authority.
- You will receive a confirmation of receipt from the relevant authority.
- If your booth permit is approved, you will receive a notice before the event begins.
- If your application is denied, you will receive a notice of denial from the relevant authority.
- You will receive a fee notice.
If you wish to apply to participate in an event via the online service:
- Access the online service.
- Fill out the application form.
- To ensure prompt processing by the authorities, upload all necessary supporting documents.
- Your application will be reviewed by the relevant authority.
- If there are any questions, the relevant authority will contact you.
- You will receive a confirmation of receipt from the relevant authority by mail and/or email.
- If your stall permit is approved, you will receive a notice approximately 2 months before the event begins.
- If your application is denied, you will receive a denial notice from the relevant authority by mail.
- You will receive a fee notice by mail.

Deadline Type: Application Deadline
Duration (for fixed dates): 8 weeks
Note:
There is no statutory application deadline. As a general rule, applications must be submitted at least 8 weeks before the start of the event to ensure timely processing. However, the application periods for some events are longer. After the application deadline has passed, you may be eligible for a waitlist process to maintain your chance of securing a booth space.
The application deadline is August 31 for the event in the following year.
For the weekly market and the district markets, the application deadline is November 11 for the markets in the following year.
Processing time
Approximately 8 weeks to 1.5 years
The processing time depends on the event for which you are applying. It also depends on when the required documents are received.
Responsible body
The Office for Economic Affairs and Real Estate, Trade Fairs and Markets Department, is responsible for this.

- The requirement to hold a traveling trade license does not apply to designated markets
